Information we collect

Depending on the form, we collect your name, email address, organisation, role, referral selection and enquiry. We also record your optional email choice, the wording version and when the choice was recorded. Our hosting and delivery systems process technical information such as an IP address, request time and delivery status to operate the service and prevent misuse.

How we use it

We use your details to fulfil your request, deliver the brief, respond to related enquiries and keep an accurate enquiry record. This supports our legitimate interests in responding to people who contact SWS and operating a secure website. Where you request steps towards a service, we also use your details to take those steps at your request.

Optional ongoing emails and publications use your consent. Requesting the Executive Brief or small-business brief does not itself subscribe you to ongoing emails. A separate optional choice is offered. Subscription forms identify the publications you are asking to receive. You can withdraw your consent at any time using the unsubscribe option in an email or by contacting us. Withdrawing consent does not affect earlier lawful processing.

Who handles the information

Authorised SWS personnel and service providers handle information as needed to operate the enquiry journey. The current services include 20i website hosting and email delivery, Google for the SWS HQ mailbox, Web3Forms for corporate request notifications and Airtable for the corporate enquiry register. Email subscription services may also process information when you subscribe. We do not sell your enquiry details.

Some service providers operate internationally. Contact SWS for information about the providers and transfer arrangements relevant to your request.

How long we keep it

We keep enquiry and delivery records for as long as needed to fulfil and manage the enquiry, maintain consent evidence, resolve issues and meet applicable record-keeping obligations. The appropriate period depends on whether your enquiry leads to an ongoing relationship. A limited suppression record may be needed to respect an unsubscribe request. You may ask us about the retention of your own record or request deletion.

Your choices and rights

You may request access to your personal data, correction, deletion, restriction or, where applicable, portability. You can object to processing based on legitimate interests and to direct marketing. Send requests to hq@strategic-wellness.net. We may need to confirm your identity before releasing or changing personal information. You can also raise a concern with the Information Commissioner’s Office.

Health information and other services

Please do not include test results or sensitive health information in a brief-request form. Any testing, research or participant service needs its own appropriate information and consent process. This website enquiry notice does not replace that process.
